Thank you for using our social media automation tool “SoPilot Pro” by TayseerulQuran Professional Inc. Your privacy is important to us. This Privacy Policy explains how we handle data obtained through connected platforms, including Facebook, Instagram, WhatsApp Business, Google (Sheets, Docs, Gmail, Ads, Business Profile), and YouTube.

Information We Collect

We may collect the following data when you authorize access through supported platforms:

Facebook and Instagram Data

• Facebook Page access tokens
• Public data about your Facebook Pages, such as page ID and page name
• Instagram business account IDs connected to your Facebook Pages
• Content that you create, schedule, publish, or manage through SoPilot Pro
• Comments and reply data when you enable automation features

WhatsApp Business Data

• WhatsApp Business account connection details
• Message templates and auto-reply settings created by you
• Message data required to provide automation features you enable

YouTube Data

• YouTube channel ID, channel name, and channel thumbnail
• YouTube OAuth access tokens and refresh tokens
• Videos, titles, descriptions, tags, privacy settings, and scheduling information that you upload or schedule through SoPilot Pro
• YouTube upload status and related publishing information

Google Sheets, Docs, Drive, and Gmail Data

• Google OAuth access tokens and refresh tokens
• File names and types from your Google Drive, used only to let you pick which of your own Sheets/Docs to connect
• The content of the specific Google Sheets and/or Google Docs you choose to connect, used as knowledge sources so our AI assistant can answer customer questions on your behalf
• Incoming Gmail messages, read only when you explicitly enable AI auto-reply, so the AI can draft and send a reply from your own inbox
• Structured details (such as name, email, and age) that the AI extracts from a customer's Gmail reply, written back as a new row into the same Google Sheet you connected — only that Sheet, never any other Drive file

We do not collect personal Facebook profile information unless explicitly authorized for Page management purposes. We do not collect your Google password, YouTube password, or Facebook password.

How We Use Your Data

We use this data to:

• Schedule and publish posts to your connected Facebook Pages
• Manage Instagram publishing and comment automation if configured by you
• Automate or schedule replies to comments if configured by you
• Connect your YouTube channel and upload or schedule videos on your behalf
• Let you connect your own Google Sheets/Docs as AI knowledge sources, and optionally enable AI auto-reply on your Gmail inbox and Google Ads/Business Profile management
• Display connected account status and publishing history inside your SoPilot Pro account
• Provide customer support, troubleshooting, and platform security

YouTube API Services

SoPilot Pro uses YouTube API Services to allow users to connect their YouTube channel and upload or schedule videos.

By connecting your YouTube account, you agree to the YouTube Terms of Service:

You can revoke SoPilot Pro’s access to your Google/YouTube account at any time through your Google account permissions page:

AI Processing and Third-Party AI Services

SoPilot Pro uses OpenAI's standard API platform (platform.openai.com) to generate AI reply text and to answer customer questions using the Google Sheets/Docs content you choose to connect. We do not use ChatGPT or any consumer AI product — only OpenAI's developer API, accessed with our own API key on pay-as-you-go usage.

Per OpenAI's API data usage policy, data submitted through the API is not used to train or improve OpenAI's models unless a customer explicitly opts in to share it for that purpose; we do not opt in to any such data-sharing. We do not use any other third-party AI provider, model aggregator, or model hub, and we do not run any self-hosted or offline AI model.

Limited Use Compliance Statement: The use of raw or derived user data received from Google Workspace APIs (Sheets, Docs, Drive, Gmail) by SoPilot Pro will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use, transfer, or sell this data to create, train, or improve any generalized or foundational AI/ML model.

Data Sharing and Security

We do not share, sell, rent, or trade your data to third parties for marketing purposes.

We may share data only when necessary to operate the service, such as with platform APIs you authorize, our AI provider (OpenAI, solely to generate a reply or answer on your behalf), hosting providers, security providers, or when required by law.

We follow reasonable industry-standard security practices to protect your information, including secure connections, access controls, and token protection measures.

Your Control

You may revoke access to your connected platform data at any time by disconnecting the platform from SoPilot Pro.

You may also revoke platform access directly from:

• Facebook and Instagram account settings
• Google account permissions for YouTube, Sheets/Docs, Gmail, Ads, and Business Profile access
• WhatsApp Business settings where applicable

Data Retention and Deletion

We retain connected account data, tokens, scheduled content, and publishing records only as long as needed to provide the service, comply with legal obligations, resolve disputes, and maintain security.

You may request deletion of your account data by contacting us at the email below.
